How to Warm Up Emails in Sparkle.io

Updated this week

Warming up your email account is an essential step before launching any cold outreach or sending emails at scale. Without proper warmup, your messages are more likely to end up in spam folders, damaging your sender reputation and wasting your efforts. By gradually increasing email activity and engaging with real interactions, you build credibility with major email service providers like Gmail, Outlook, and others. This process signals that you're a legitimate sender, not a spammer, and helps your emails consistently land in primary inboxes.

Step 1: Connect a Sender Account

Before warming up, make sure you’ve added a sender account via Gmail, Outlook, or SMTP.

Step 2: Enable Warm-Up

  1. Log into your Sparkle.io dashboard.

  2. Click on Sender Accounts from the left-hand menu.

  3. Select the sender email you want to configure.

Step 3: Open the Warmup Tab

  1. Click on the sender account

  2. The warmup tab

Step 4: Set General Warm-Up Settings

  1. Warmup Tag – Enter a custom tag to label this warm-up (e.g., pineapple-pen).

  2. Daily Warmup Limit – Set how many warm-up emails you want to send daily (minimum: 10)

  3. Reply Rate (%) – Define how many of those emails should receive simulated replies (e.g., 30%).

  4. Open Rate (%) – Set the percentage of emails that should be opened automatically.

  5. (Optional) Enable Randomise Daily Warmups – To add natural variability in email volume.

  6. (Optional) Enable Daily Ramp-up – Starts low and gradually increases warm-up volume.

Step 5: Configure Advanced Warm-Up Options

  1. Daily Reply for Inbound Warmup Emails – Set how many replies your account will send per day (max 80).

  2. Auto Read – Enable to simulate scrolling through warm-up emails.

  3. Mark as Important – Mark a % of warm-up emails as "Important" (e.g., 40%).

  4. Don't Send on Weekends – Avoid sending on Saturdays and Sundays.

  5. Spam Protection – Keep this ON to ensure warm-up emails are kept out of spam folders.

Step 6: Set Email Campaign Behavior (Settings Tab)

  • Go to the Settings tab next to Warmup.

  • Under Campaigns Settings:

    • Daily Limit – Set how many emails you want to send via this sender per day (e.g., 45).

    • Delay Between Emails – Choose how much delay (in minutes) between each sent email (e.g., 5 mins).

  • Add a default Signature for your emails.

(Optional) Toggle ON Custom Tracking Domain to use your own branded domain for tracking.

Step 7: Save and Monitor

  • Your configurations are auto-saved.

  • Monitor warm-up performance and sender health from the Sender Accounts dashboard.

  • Let warm-up run for 14–21 days before sending high-volume campaigns.

Pro Tips for Effective Warm-Up

  1. Start Small

Begin with a low daily limit (e.g., 10–20 emails/day) and gradually scale up. It mimics natural behavior and keeps your sender reputation intact.

  2. Don’t Skip Weekends (Unless Needed)

Turning off weekend sends can make your activity more realistic, especially for B2B use cases.

  3. Use Realistic Settings

Set reply and open rates between 20–50% for natural-looking engagement. Avoid setting everything to 100%.

  4. Monitor Performance

Keep an eye on bounce rates, inbox placement, and warm-up progress via the sender dashboard.

  5. Rotate Senders If Needed

Warming up multiple sender accounts in parallel can help if you plan to scale outreach fast.
