How to Match Contacts in Unmatched Emails in Sparkle.io

In Sparkle.io, the Unmatched Emails tab shows replies that couldn’t be auto-linked to existing contacts, often due to missing data or email mismatches.

These replies might still be valuable leads, so it’s important not to overlook them.

You can manually match them to an existing contact, create a new one, or ignore if irrelevant.

This keeps your outreach organized and makes sure no reply slips through the cracks.

Use this guide to clean up unmatched replies quickly and effectively.

Step 1: Open the Unmatched Tab and Email

  • From your Sparkle dashboard, click on Unmatched in the left sidebar.

  • This tab shows all replies Sparkle couldn't match to an existing contact due to email mismatch, domain difference, or missing records.

  • Click on any email listed under Unmatched to open the conversation view. You'll see that it is marked as “Unmatched” (no contact or campaign is assigned).

Step 2: Click the “Match” Button

  • At the top of the email thread, click the Match button (next to "Ignore").

  • This opens a pop-up or sidebar with a contact search field.

Step 3: Search for the Correct Contact

  • Start typing the contact’s name, email, or company.

  • Sparkle will show suggested matches, as seen here:

  • If you find the right one, click to select. Can’t find it? Click Add New to create a new contact instantly.

  • When you click Match, the email will be linked to the selected contact and moved to your Inbox, appearing as a normal matched reply.

Step 4: (Optional) Create a New Contact

  • If no matching contact exists, create a new one directly from the Match screen.

  • Save it and link immediately — no need to switch tabs.

Step 5: Click the “Ignore” Button

  • Inside the unmatched email thread, find the “Ignore” button next to “Match.”

  • Ignore once
    Temporarily dismiss just this specific reply. It won’t be matched or counted, but future replies from the sender will still come through.

  1. Always Match Key Replies

    If a legit lead lands in unmatched, don’t ignore it — use Match Contact to log it correctly and avoid losing deal context.

    Auto-replies, bots, or irrelevant senders? Use the Ignore options (once, domain, or full email) to clean things up — for good.

  3. Use unmatched Daily

    Check this tab every day, especially if you’re running volume. One missed reply = one lost opportunity.

    Can’t find a match? Just hit Create Contact right from the Match screen and assign instantly — no need to switch tabs.
